Any information that you provide to us, such as your name/surname, address, email address and telephone number and other registration information, financial and credit card information, personal description, details of your household or business, details of any pets you may have and any information about you or your property revealed in photographs of your property which you provide to us (or which you permit us to take) and any other information that you choose to provide voluntarily, when you:

  • Filling in our contact or enquiry form
  • Submit a booking enquiry through our website in regard to services we provide;
  • When you contact us in response to a property you've seen online;
  • Via live webchat;
  • When you contact us with a question or enquiry via our website or by calling our office;
  • Subscribe to receive newsletters we may offer from time to time;
  • when you enter into a contract as a Landlord or Tenant;
  • When you deal with us when we are providing services to one of our clients;
  • When we receive referrals from other candidates, clients or suppliers;
  • When you make a complaint;
  • Correspond with us by telephone, post or email or via the instant chat facility on our website (whereby we will keep a transcript of that correspondence); or report a problem with any of our Services.
  • When you deal with us in order to provide us with goods or services;

Where we store and process your information

All information you provide to us is stored on our secure server here in London.

The data that we collect from you is kept within our database. The processing of your booking, the processing of your payment details and the provision of support services are managed by our staff. By submitting your personal data, you agree to the storing or processing of your personal information. We will take all compulsory steps to ensure that your data is treated securely and in accordance with this privacy policy.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website for the purpose of rescheduling or cancelling any appointments you have already booked with us, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

All payments made through via our mobile terminal or over the phone are encrypted using the most powerful technology. We do not store any of your credit or debit card details in connection with your payment.

Sharing your personal data

Where appropriate and in accordance with local laws and requirements, we may share your personal data with:

  • third parties for lettings including but not limited to tenant referencing agencies, landlords, contractors and property maintenance services, gas and electrical contractors, utility companies and insurance providers;
  • third parties including but not limited to solicitors, conveyancers, surveyors, contractors and property maintenance services;
  • tax, audit, or other authorities, when we believe in good faith that the law or other regulation requires us to share this data;
  • third party service providers who perform functions on our behalf including external consultants, business associates and professional advisers such as lawyers, auditors and accountants, debt collection agencies, technical support functions and IT consultants carrying out testing and development work on our business technology systems;
  • third party outsourced IT and document storage providers where we have an appropriate processing agreement or similar protections in place;
